User Profiles
User Profiles allows an administrator to create profiles with common elements of a user. These elements include: Configuration, Queue/Responsibility, Security Role, License, Approval Limits, Personal Filters, and other User Preference options. The User Profiles can then be applied to individual users. This is useful for managing large groups of users.
Before adding a User Profile, consider the groups of users and what common elements are needed for the users of the group. You can create User Profiles for users who are representatives, administrators, and more.
To access the User Profiles page:
From Administration, select User and Security Setup > User Profiles.
Adding a User Profile
To create a new User Profile:
From User Profiles, click the New User Profile button on the banner.
In the New User Profile window, enter a User Profile name in the ID field.
Click Ok.
Complete the user profile setup by filling out the fields within each tab on the page. This topic will describe each tab below.
Click Save.
User Profile
Field | Description |

User Profile | The User Profile ID is displayed in this field. This field cannot be changed. |
Description | Enter a description of the user profile. |
Security Role Id | Select the Security Roles to assign to this group of users. The security role defines what system functions a user can and cannot access. For more information about system functions, see Security Functions. |
Configuration | Select the Configuration ID to which this group of users are assigned. See Configurations Overview for more information. |
License Profile | Select the license profile for this group of users. |
Notes | Add any additional notes or information about this user profile in the text box. |
Companies | Click the Add button to select from a list of companies for which this group of users is responsible. When you have selected the companies, click the Add button to add them to the User Profile. |
Responsibilities | Click the Add button to select from a list of users or queues for which this group of users is responsible. When you have made your selections, click the Add button to add them to the User Profile. |
Approval Limits
Field | Description |
---|---|
Check Limit | The highest monetary value of a single check that this group of users is authorized to issue. If there is no limit, enter a value of 0. |
Coupon Limit | The highest monetary value of a single coupon that this group of users is authorized to issue. If there is has no limit, enter a value of 0. |
Enclosure Value Limit | The highest combined monetary value of all enclosures on the case that this group of users is authorized to send out. If there is no limit, enter a value of 0. |
Encl Limit Period | The time period during which the enclosure value limit is tracked for this group of users. For example, you may want to limit the user profile to a certain amount per day, per week, or per month. |
Enc Period Limit | The monetary value of enclosures that this user profile is authorized to send out during a given time period. |
Encl Period Current | Shows the current value of all enclosures that the user profile has distributed over the specified time period. |
Default Values
Field | Description |

Default Company ID | Select the primary Company ID for this user profile. This is the Company ID that is selected each time the user signs in to the system. |
Letter Job Title | Enter the job title to appear on letters created by this user profile. |
Receive Email | Select this checkbox for the user profile to receive an email notification for things such as assignments or actions. |
View Case Polling Period | Determines how often the user profile's list of open cases is refreshed when that view is left open. A setting of 60 seconds is typical. Setting it too short can cause performance problems with the system since each user is continually refreshing their data from the database. |
View Queue Polling Period | Determines how often the user profile's list of queues is refreshed. |
Language ID | Select the Language ID for the user profile. Any translatable screen elements will be displayed to the user in the selected language if you have the proper language pack installed, and if window layouts have been generated for the user profile's selected configuration and language. If you leave this field blank, the system uses the default language of "en" (standard English). |
Case History Length | Enter the number of cases you want to display in the "last X cases" menu. If this field is left blank, the drop-down menu is disabled. |
Notifications Timing(sec) | Enter the number of seconds a system message should appear for this user profile before it fades and disappears. Entering 0 requires the user to click a mandatory message to dismiss it. All other messages can be clicked or hovered over to dismiss. System Messages include error messages, warning messages, informational messages, etc. |
Report Date Format | Select the format that dates appear in when the user runs a report. |
Report Time Format | Select the format that times appear in when the user runs a report. |
Default Letter Priority | Select the default value for letter priority. The drop-down list displays options from 1-9. 1 is the highest priority, 9 is the lowest. |
Users Assigned to Profile
To assign users to this user profile:
Click the Add button. The Users to Add to the User Profile will display.
Select the users you want to add to this profile.
Click the Add button. The list of users you add will display on the User Assigned to Profile tab.
