Security Functions

A Security Function is a discrete element within the system to which you can assign permissions. Most of the security functions required for use of the system come pre-configured when Emplifi Agent is installed.

It is rare that you will ever need to add or remove functions. The primary exception would be in the case that you are given a custom report or utility; you may be instructed to add a corresponding security function.

This must be coordinated with Emplifi because the selected ID must also be used in the application code.

Security Functions are used when creating Security Roles, which determine the permissions users have for each function.

To access the Security Functions screen:

  • In Administration, select User and Security Setup > Security Functions.

The defined security functions are displayed in a table. Each function has the following elements:

System Function ID

Internal identifier assigned to the security function.

Description

A description of this security function's purpose.

Password Override

Click the Change Password button and enter a password in the text box that will allow users to have temporary access to this function. If a user who otherwise does not have access to this function attempts to access it, they will be prompted for the password. If the correct password is entered by the user, they will be allowed to access that function.

Additional Functionality

The Function Banner contains the following buttons which provide additional functionality.

  • New Function allows you to add a new security function.

  • Add Items will display a menu of the following additional options.

Description

Address Type

This allows you to restrict certain users from editing addresses of a certain type. Once an address type is added here, all users are blocked from maintaining addresses of that type until you add the appropriate update permission to the desired security roles.

(info) If you use this feature, your address type codes must be no longer than 15 characters in length.

Text Type

This allows you to restrict certain users from updating case text entries of a certain type. Once a text type is added here, all users are blocked from editing case text entries of that type until you add the appropriate update permission to the desired security roles.

Report Companies

This allows you to give users the ability to create reports that combine data from multiple companies. After adding a function here, you must also add it to the desired security roles and give update permission.

Agent Assist Roles

This allows you to assign roles for Agent Assist.

Sensitive Data Types

This allows you to add System Functions to control access to Sensitive Data on the Case page based on the Sensitive Data Type code.

  • Delete allows you to delete the selected Security Functions. Use caution before selecting this option, see the warning below.

This will permanently delete Security Functions from any Security Roles that are currently using it. You will need to confirm that you want to delete the Security Function before it is deleted.
