Defining Standard Paragraphs

Paragraphs are the building blocks of letters. You can define any number of standard paragraphs that can be used interchangeably across as many different letters as you deem appropriate. You can also take advantage of a special feature called paragraph inserts that allow you to include appropriate information from the case at the time the letter is generated.

To access the Standard Paragraphs screen:

  • In Administration, select Company Setup > Fulfillment > Standard Paragraphs.

We recommend that you try to create paragraphs in small, single-purpose units so that they can be reused more easily on a variety of letters. A typical structure for the paragraph hierarchy might contain the following top-level folders: Headings, Greetings, Letter Body, Issue Paragraphs, Product Paragraphs, Closings.

Field

Description

Standard Paragraph ID

This is the ID that was assigned when the code was created. It cannot be modified.

Insert Address From

If you are going to include any paragraph inserts for address or phone information from the case, you must first select whether you are referring to the Caller address, an Other address, or the Send To address (on the Letter).

If you do not choose one of the above before adding a paragraph insert for address information, the result will be an invalid paragraph insert being placed into the paragraph.

Paragraph Language ID

For informational purposes, this field allows you to indicate the language in which the paragraph is written.

Preview using Case ID

Specify the case ID that will be used for previewing the paragraph. For information, refer to Previewing a Paragraph below.

Active

Determines whether this code is active. Inactive paragraphs will still work on any letters on which they are defined but cannot be added to additional letters.

Repeat Table

Specify a table whose information will be repeated for each entry on the case. A common use of this feature is to create a list of enclosures within the letter.

(info) For Standard Paragraphs with a Repeat Table of "Assoc. Enclosures," the Language ID of the specific Enclosure being iterated is used for all translation and formatting purposes, temporarily replacing the Language ID of the Letter/Address for that iteration of a specific enclosure only. This allows for two languages on a Check, Coupon, or Label, the system language or the Language ID of the Enclosure type, if .translate is specified. The Language ID replacement applies to ALL .translate usages on that iteration, no matter what the requested column is, since it is likely to be case_enclosure or enclosure codes anyway.

(info) This feature is not optional but can be controlled by leaving the "Language ID" on the Enclosure Code blank or by specifying a specific language.

Preview Type

Specify the output format that will be used when previewing the paragraph. For information, refer to Previewing a Paragraph below.

This setting does not affect how the paragraph will appear in a letter. This is controlled by the Format Type field on the Standard Letter Definition. For details, see Defining Standard Letters.

Preview Letter Seq

Specify a letter sequence that will be used for previewing the paragraph. This is only needed if the paragraph contains paragraph inserts that refer to the letter. For more information, refer to Previewing a Paragraph below.

Paragraph Text

The bottom part of the window is a free-form text entry field that allows you to enter the actual text of the paragraph. To include information from the case at the time the letter is generated, you can use paragraph inserts. Inserts can also be used for inserting various special characters. For details, see Paragraph Inserts Overview.

(info) The [prompt.] insert will not work in a suggested paragraph.

If you are creating a paragraph that will be used on an HTML-based letter, and you want to include special formatting (such as font, font size, text and background colors, and bold or italic), use the HTML Editor buttons. For more information, see Creating a Paragraph Using the Editor.

Previewing a Paragraph

It is often useful to see how a paragraph will look when it is generated. This is especially true if you are using paragraph inserts or if you are creating an HTML paragraph. For more information, see Paragraph Inserts Overview.

To preview a paragraph:

  1. In the Preview using Case ID field, enter a Case ID to use for the preview. Any paragraph inserts that reference case data will draw information from the specified case. (No changes are made to this case.)

  2. If your paragraph includes paragraph inserts that refer to the letter fields on the case, you must enter a Preview Letter Seq. This should be the number of a valid (previously defined) letter on the case entered in the previous field.

  3. Enter a value in the Preview Type field to simulate the type of letter for which the paragraph is going to be generated.
    (info) If your paragraph contains HTML tags, and you select a type other than "HTML text," the generated output will include the tags as visible text in the paragraph.

  1. Click the Preview button on the banner.

Emplifi Agent generates the paragraph and displays the result in a separate, read-only window. You may receive one or more error messages, such as missing case information or invalid paragraph inserts.
