Paragraph Inserts Overview

Paragraph inserts allow you to include information in a letter that is specific to the case to which the letter is attached. It is often necessary to include information such as the caller's name and address, the case ID and received date, and issue summary information. A paragraph insert is essentially a placeholder for a piece of information that will be filled in at the time the letter is prepared for the case.

Paragraph inserts are used when you are defining the text of a Standard Paragraph. For details, see Defining Standard Paragraphs.

To use a paragraph insert:

  1. If you are inserting address information, make sure that you have specified a value for the Insert Address From field on the paragraph definition. For details, see the Insert Address From cell in Defining Standard Paragraphs.

  2. Place the cursor where you want to paste the paragraph insert.

  3. Open the Paste Insert menu by clicking the Paste Insert button on the banner.

  4. In the Paste Insert menu, click on the insert you want to paste. The insert is pasted into the paragraph editor.

The Paste Insert menu remains open until you click the Paste Insert button again.

Paragraph inserts are placed into the paragraph enclosed between square brackets. Each insert has the following format: [table_name.field_name]

If you know the correct table and field names, you can also add or edit inserts manually in the paragraph editor. However, if the insert is not entered correctly it will cause an error when the letter is generated. Therefore it is usually safer to always use the Paste Insert menu to add new inserts to a paragraph. Also, after you have finished creating a paragraph, you should always preview it to ensure that all the inserts that were used are properly recognized.
