Configuration: Fulfillment

The settings on the Fulfillment screen control the fulfillment process in Emplifi Agent. For information, see Fulfillment.

To set the configuration settings for Fulfillment:

  1. From the Application Function Bar, select Administration > Configuration Settings.

  2. Select the configuration for which you want to set up printers.

  3. Click the Fulfillment option.

These settings are available on both the Fulfillment view and the Letter Processing view. Updating the field here also updates the field on the other view.

Description

Default Letter Issue

When a letter is added to a case, this setting determines the default value for the Associated Issue field on the letter. The following options are available:

  • Current: The associated issue will default to the currently selected issue sequence.

  • None: The Associated Issue field will be left blank.

  • 1: The Associated Issue field will always default to issue sequence 1 (even if there is no issue sequence 1).

Set Letter Status to Custom If Agent Changes Contents

When the file size changes, the letter status will be set to custom. This can be used as a "flag" to alert administrators that the letter contents have been changed since the letter was prepared.

Set Letter Status to Custom When Letter is Prepared

When the letter is prepared, set the letter status to custom. This can be used as a "flag" to alert administrators when it is typical not to prepare a letter until it is ready to be printed.

Order Within Print Doc

Determines the sort order of the documents that will be created for printing. Possible values are as follows:

  • Case ID

  • Responsible Rep

  • Initial Rep

  • Letter Entered By

The fulfillment groups in the "Shipping Details" view (and the PDF version on the "Print Pick List" view), of the Process Batch utility appear first sorted by Doc number (for example, 001, 002, 003), then sorted by the option selected in the Order Within Print Doc field. There is a printing page break when the Doc number changes. This displays the results in the list order that matches the letter documents if they are printed in order.

Split On Enclosure Category

The print documents can be broken into multiple documents based on J-code values (category on the Enclosure definition). It is suggested that either J05 Code or J06 Code is used for this purpose (because they appear on standard lists) but it works with other J-codes as well.

If the Do Not Split option is chosen, the print documents are not split.

This option can be used in conjunction with the Split on Label option.

The code of the category chosen displays in the Document file name. A value of NULL displays if that code is blank for a given enclosure. If a letter (or set of enclosures of a case to a common send-to address) has multiple enclosures, then the first enclosure is the basis of the split.

Send Email

If this option is selected, all letters whose type matches the Email Letter Type field that have no exceptions are sent via email. If an email has attached enclosures, the enclosure is sent as an attachment to the email.

If this option is not selected, all letters whose type matches the Email Letter Type are ignored as candidates for the fulfillment batch, and no exceptions are reported.

Force Link Enclosures

Select this option to force all enclosures to be associated with an unsent letter on the case. The system will auto-associate them based on the send-to address if the letter is not prepared. Any other condition is considered an exception, and nothing will be sent from that Case until the problem is fixed.

If this option is not selected, Enclosures are not required to be related to a Letter. The following additional rules apply:

  • If the Enclosure definition setting Link To Letter is set to "No," then that Enclosure (if not already linked to a letter), will not auto-link, but will still be part of a batch. For more information about enclosures, see Defining Enclosures.

  • If the Link To Letter setting is set to any other value, then the enclosure must still be linked. If it is not, the system will attempt to auto-link as described above and will raise an exception if necessary.

For any enclosures that do not have letters, note the following:

  • They will be listed as extra Print Documents at the end of the list of documents in the Process Batch Utility.

  • They will be grouped (multiple enclosures for multiple Cases/Addresses) into documents named X;NoLetter;[Label;][j05_code;]PickList.htm. For more information on how this name is structured, see Files in a Batch.

  • They also show up in the Shipping Details as other fulfillment items.

  • The Print Document can optionally be printed and used by personnel to pick these items.

  • They are split using the same method as letters, based on the above options.

Only Include Proofed Letters in Batch

If this option is selected, only proofed letters will be included in the batch. Other settings will be treated as an exception. This implies that all letters must also be prepared outside of Fulfillment, since an unprepared letter cannot be proofed.

The exception message related to this will indicate whether the letter was not prepared, or if it was prepared but not proofed.

Send MessageCenter Message On Exceptions

If this option is selected, each fulfillment batch exception (for example, missing address1) is sent from Emplifi Agent MessageCenter to the User responsible for that item, which is determined by the "Order Within Print Doc" setting. If that setting is "Case ID," the exception is sent to the "Letter Entered By" user. One message is sent per user, gathering together relevant exceptions for that batch.

Letter Print Preview Type

Select the method to use when creating a print preview of a letter on a case. This setting is used for letter types that have Fulfillment Printers defined, otherwise the letter prints directly and only the Quick preview is available.

Choose from the following:

  • Full - (default, null behavior) creates a true WYSIWYG print preview from the server when the agent clicks the Print Preview button on the case letter. This option summits a request to the server to generate the preview images based on the configured fulfillment printer.

  • Quick First - uses local resources to create a WYSIWYG preview using the built-in browser print preview capabilities. This option is generally faster and uses fewer network resources, however the view may not be completely accurate. The Print Preview will provide a button that allows the agent to view the Full preview.

  • Quick Only - performs the quick preview and does not provide the ability to request a Full preview.

Disable Server Side Printing

Select this check box to only allow a user to print a letter from a case, which is defined to be printed on a server, to a local printer. When the option is selected, the user can still view a server-based print preview.

(info) This does not affect letters printed using Batch Fulfillment.

Print Enclosures Server Side with Letters

Select this check box to allow case enclosures configured to print by specifying a File Name to be printed server-side at the same time as their associated letter. The letter and enclosures are printed and collated to the same print tray.

You must also set the File Print Letter Type on the Enclosure code to use this feature. For more information about enclosures, see Defining Enclosures.

Fulfillment HTML Printers

This section allows you to define a set of separate printers to use for each letter type–known as server-side printing. If you do not define printers in this section, your system will use client-side printing utilizing the browser.

These printer settings are used when printing multiple pages to control which printer prints each page of the fulfillment document. The pages are sent directly to the specified printer for each page without showing a print preview. We recommend that you do not use these options unless you absolutely need to, processing is slower because of the extra logic that is required to break up the documents appropriately for each set of printer settings.

You specify settings such as paper size and orientation in the Windows Printers settings. For details, see Configuring the Fulfillment Printers.

If you define a server-side printer for Letters, you will need to define a Letter Type for Checks and set up a printer for checks, otherwise, checks will print to the printer you defined for letters. For information, see Fulfillment and Server-Side Printing.

To define fulfillment HTML printers for a new letter type:

  1. Click the New Fulfillment Printer button on the function banner.

  2. In the Letter Type column, select the Letter Type Code to which these settings should apply.

  3. If the printer is to be used as the default, select the Default check box.

  4. In the Page columns, select the Windows share name for the printer to use for each page of the document.

  5. In the Print Server URI field, type the location of the print server to use for this fulfillment printer. If a Preferred Print Server URI was entered, then this field defaults to the URI entered there, but can be changed.

The printers defined for the pages (First Page, Last Page, Second Page, Second Last Page, and Default Page) must all be the same physical printer for the selected Letter Type. You can define different settings for each printer/page combination if they are the same physical printer. Different Letter Types can use different physical printers.

Select Printer Button

There are several views within Emplifi Agent in which you can click the Select Printer button. Use this button to specify one of the server-side printers defined in this configuration to use when printing fulfillment documents. When you click the button, the Select Server Side Printer dialog displays. For information, see the Select Server-Side Printers section on page Fulfillment and Server-Side Printing.

Description

Preferred Print Server URI

If your print server is not local to your Emplifi Agent server, type the URI of the location of your print server. This URI is copied by default when you add a new fulfillment printer to the Print Server URI field.

If you leave this field and the Print Server URI field blank, the fulfillment printers utilize printers from the local server.

(info) If a preferred print server URI is entered after fulfillment printers are created, the Print Server URI fields will not be updated to the value you enter here. You will have to manually update the pre-existing fulfillment printers.

Letter Type

This is the letter type that was selected on the main screen. The value is read-only on this window.

Default

This check box indicates that this printer is to be used if a printer is not specified by the user or utility for the selected Letter Type.

First Page

This setting represents the printer settings incorporated for the first page to be printed. (see chart)

Last Page (LP)

This setting represents the printer settings incorporated for the last page to be printed. (see chart)

Second Page

This setting represents the printer settings incorporated for the second page to be printed. (see chart)

Second Last Page

This setting represents the printer settings incorporated for the second last page to be printed. (see chart)

Default Page

This setting represents the printer settings incorporated for the default page to be printed. (see chart)

(info) If multiple printers are set up for the same Letter Type, this setting must be unique for each configured printer/letter type to allow the user to select the printer on the Select Server Side Printer dialog.

Print Server URI

If your print server is not local to your Emplifi Agent server, type the URI of the location of your print server. If a Preferred Print Server URI was entered, then this field defaults to the URI entered there, but can be changed.

Once a Printer Server URI is entered, the printer fields for the various pages will be populated by the printers installed on that URI’s host system.
