Notification Profiles

A notification profile, also known as a "user profile," defines the attributes of a user who is going to receive notifications. It defines the devices on which they will receive notifications, as well as the types of notifications they will receive.

To access the Notification Profiles screen:

In Administration, select Company Setup > Workflow / Process Automation > Threshold and Notification Definitions > Notification Profiles.

Description

Profile Code

This is a unique ID for the profile.

(tick) Best Practice: Create profile codes as peoples' names (or user IDs, if applicable), so that they are easy to find later on if you need to edit one.

Description

This is a description for this profile. Again, it is a good idea to use the person's name as the description.

Active

Determines whether this person is active or inactive. Inactive profiles will be ignored, and no notifications will be generated.

Web Log On

Web Password

Devices

This section defines one or more communication devices on which this person can receive notifications.

To add a new Device, click the New Device button on the banner.

Description

Device ID

This is a text ID that you assign. You will use this ID when creating subscriptions on this profile, below. It is good practice to keep it simple and obvious, such as "email," "cell," etc.

Type

Select the actual communication device type. "Email (full)" is the most commonly used. For details about communication devices, see Communication Devices.

Address

This is the email address of the device (for example, "johdoe@emplifi.io").

When you are specifying the address, you will always be using an email address regardless of the type of communication device. Emails, faxes, and pager/text messages are all sent through an email interface. Although an email address is used in all cases, choosing the proper device type is still important because the processing that takes place behind the scenes is different for each type.

Responsibilities

Responsibilities can be used to limit the information to which a user can be subscribed within a specific category.

If no responsibilities are present, subscriptions can be added without any restrictions. Once responsibilities are added to a Notification profile, the system is going to check those responsibilities when adding subscriptions. Subscriptions can be added at the same level or lower than the level indicated by the responsibility.

If responsibilities are added after subscriptions have been defined, the system does not validate the existing subscriptions to ensure they comply with the new responsibilities.

To add a new Responsibility, click the New Responsibility button on the banner.

Description

Category

Select a category that defines an item for which this person is responsible. This will usually be things such as a store or site category, a department or organization structure, etc.

ID

The Category ID. This is filled in automatically when a Category is selected.

Level

Select the level within the category hierarchy for which this person is responsible.

Value

Select the code value at the selected level for which this person is responsible.

Type

(not used - may be used in the future)

Subscriptions

Subscriptions determine the items for which this person will receive notifications.

To add a new Subscription, click the New Subscriptions button on the banner.

Select a category that defines an item for which this person should receive notifications.

ID

The Category ID. This is filled in automatically when a Category is selected.

Level

Select the level within the category hierarchy for which this person will receive notifications.

Value

Select the code value at the selected level for which this person will receive notifications.

Notification

Select the name of a notification definition that defines the message content, format, and other parameters. For details, see Notification Definitions.

Device

Select the ID of the device (defined above) where this notification will be sent.

Format

Select a format for the notification message. The available formats are defined on the Notification Definitions page in the Formats section. You should select a plain text format if you are sending to any device other than an email address capable of receiving formatted text.

Active

Determines if this subscription is active. Inactive subscriptions will not generate any notifications.
