Defining and Maintaining Surveys

You have two options when defining a survey: you can create a survey from scratch, or you can use the Copy Survey button to copy an existing survey.

When using the Copy Survey option, the copy is created and saved as a single step.

Defining a Survey 

  1. In Administration, select Company Setup > Surveys > Survey Definitions.

  2. Click the New Survey button on the banner.

  3. You will be prompted to enter an ID for the survey. Enter a new, unique ID of up to 40 characters and click OK. The new survey ID displays in the function bar and in the definitions list.

  4. Click the Save button on the banner.

  5. Select the new survey in the function bar to display the survey definition view.

  6. Type a Survey File Name for your reference.

  7. Select a Survey Type and Survey Method.

  8. Select a Default Company ID.

  9. Click the Save button.

The next part of defining a survey is to define the questions that will be asked. For more information, see Defining Survey Questions.

Description

Survey ID

This is the name that you gave the survey when you created it. It cannot be changed.

Survey Type

This field is for your reference only. It is not used anywhere by the system.

Survey File Name

This field is for your reference only. It is not used anywhere by the system.

Survey Method

This field is for your reference only. It is not used anywhere by the system.

Default Company ID

If you are in a multi-company environment and this survey is for a specific company, enter the company ID here. You can leave the field blank if it can be used for any company in your environment.

Unlocking a Survey for Edit

By default, published surveys cannot be edited, as this can invalidate comparisons of survey results from before and after the edit. You must unlock a published survey before it can be edited.

To unlock a survey:

  1. In Administration, select Company Setup Surveys  Survey Definitions.

  2. Select the Survey Definition that you want to edit.

  3. If the survey already contains results, you have the option of unlocking the survey for editing. Click the Unlock Survey button on the banner. A warning message displays with the option to "Cancel" or "Unlock."
    (info) Changing a survey that has either been published or has results entered in the system can cause inaccurate analysis of the data. When you edit a survey that has been locked you may be changing questions, adding new questions, deleting questions, or even updating the title of the survey. These updates to the survey can affect the perceptions of the individuals taking the survey and cause them to answer differently than if the survey had not been changed.
    We recommend that if you edit a locked survey that you create a unique Survey Run for this new version of the survey. This will allow you to analyze the data based on how the individual saw it at the time it was completed.

  4. Click Unlock to continue editing. The survey will be marked editable and a New Question button is available in the banner.

  5. Make your changes and click Save.

Once the survey questions are unlocked, they may be edited. Upon save of the survey changes, the lock will be put back in place.
