User Inactivity

The User Inactivity Utility allows administrators the ability to monitor inactivity of users in the system and lock or deactivate them as needed. This utility can be executed on-demand or scheduled to enforce specific policies.

To access the User Inactivity Utility:

  • From the Application Function Bar, select Utilities > User/License Utilities > User Inactivity.

Options 

The following options are available for this utility:

General options

Description

Company

Select the Company in which users are defined. Defaults to ‘SYS’.

Output Format

Select Web Page to view the output on-screen. The Log/Text File option will create two files:

  • log file

  • tab-separated results file

User Selection

Leave this blank to process all users (except those defined as a ‘Queue’ type). Alternatively an individual user or folder can be selected. If a folder is selected, all users defined within the folder will be included.

Output Style

Full User List - displays all processed users and their current/new status.

Impacted Users Only - displays only the users who’s new status is/will be different than their previous/current status.

Processing Mode

List Only - Lists users that meet criteria specific in Processing Options, but does not make any changes.

Execute - updates user records based on Processing Options.

There is no direct option to “undo” the execution of this utility, so “List Only” should be used to confirm the desired result.

Description

Days to Lock

Defaults to 30. If a user has been inactive for the specified number of days, the system will lock their user record (which must be unlocked by an administrator using the Clear Locked Users utility.

Days to Deactivate

Defaults to 90. If a user has been inactive for the specified number of days, the system will mark them as “inactive”.

This will “uncheck” the active flag on the user record and remove license, profile, and password according to the following options:

  • Remove license

  • Remove pro

  • Clear password

If a user has never logged in, the “inactivity” period will be calculated based on the date the user was created.
