Standard Letter Preview

As new letter templates are created and as new standard letters are defined (for all letter types), it is very common for you to preview what these letters would look like once they are prepared. The Standard Letter Preview allows you to preview (and print) multiple letter definitions at once.

To access the Standard Letter Preview Utility:

From the Application Function Bar, select Utilities > Configuration Utilities > Standard Letter Preview.

Utility Options

The following options are available for this utility:

Field	Description
Run Mode	Select the mode in which you want to run the utility. Choose from: List [default] – returns a list of selected letters without prepping so that you can verify selection before running a potentially lengthy prep request. Preview - performs the full preview prep of all selected letters and returns a list for preview and print.
Case ID	Enter the case ID to use during the preview letter preparation of all letters. The case ID must be specified for the process to run in Preview mode. The case ID is validated to ensure a valid case number is entered prior to running the utility. Changing the case ID value will blank the Issue field (and update the fields values).
Issue	Select the issue sequence to use during the letter preparation for all letters. The list is populated with valid issue numbers for the entered case. Leave the field blank if no specific issue is to be used.
Language ID	(Preview Use) Select the language to use during the letter preparation for all letters. This value will override the language setting on the letter definitions.
Std Letter ID	Filter selected letters based on specified standard letter IDs and operators: “=”, “<>”, "IN," “NOT IN”, “LIKE”, “NOT LIKE”.
Letter Type	Filter selected letters based on specified letter type code and operators: “=”, “<>”.
Letter Format	Filter selected letters based on specified letter format and operators: “=”, “<>”.
Language ID	Filter selected letters based on letter definition’s language ID and operators: “=”, “<>”.
Date From	Only display letters changed on or after the given date/time.
Date Thru	Only display letters changed on or before the given date/time.

Results

New letters and templates have been created. You open the Standard Letter Preview utility to preview them. Once you have entered your desired options to select the letters you want to preview, click the Run button on the toolbar. The Results show a list of the selected letters with the following information:

Column	Description
Selected	Displays a check box to indicate which letters are selected. This column only displays next to successfully prepped letters to allow selection for printing.
Letter Type	Displays the letter type assigned to the Standard Letter ID.
Std Letter ID	Displays the Standard Letter ID. The Standard Letter ID defines the basic format and content of the letter.
Description	Displays the letter's code description or the name of the log file.
Output	Displays one of the following: Link to log file (if first row in list) Link to prepped letter (if letter prepped successfully) Any warning or error messages for prep of letter The prepped preview letters will not be stored on the case. They will be saved to a temp folder that is created under the website for the given user: `http://{website}/temp/{user name}/Standard Letter Preview/…` When the utility is re-run, any existing preview letter files (matching the current preview selection) are overwritten and lost.
