Mass Mailing Settings and Options
The following tables provide a description of each field used to create and maintain a Mass Mailing.
Mass Mailing Settings

Mass Mailing ID | Enter a name for the mass mailing. |

Lock Build Lists | Select this check box if you do not want to rebuild or change the mass mailing build list. |
Date Prepared | Select the date the mass mailing was created. |
Date Sent | Select the date the mass mailing was last sent. |
Criteria Notes | Enter any notes detailing the mass mailing criteria. |
Company ID | Displays the Emplifi Agent Company ID for which the mass mailing is being processed. This is the company that you are currently logged into. |
Date Added | Displays when the mass mailing was originally added. |
Changed Date | Displays when the mass mailing was last changed. |
Added By User | Displays the name of the person that originally created the mass mailing. |
Changed By User | Displays the name of the person that last changed the mass mailing. |
Processing Options Settings
The available options vary based on the Mass Mailing Type. Options that do not relate to a selected Mass Mailing Type are disabled and grayed-out.
Build Address List Options
The following fields only affect the build address list.

Case Relation | Select the relationship of the address to the case. The available options are:

Include Secondary Address | Select this check box to include secondary addresses in the build results. Creating a case where a Secondary Address is in the list will make the Primary Address the caller and the Secondary Address the Other Address. If an A-code is set to be updated, it is updated on the Secondary Address. |
Only Active Addresses | Select this check box to include only active addresses in the build results. |
Only Allow Survey Addresses | Select this check box to include only addresses with Allow Survey selected for the addresses on cases in the build results. |
Allow Duplicate Addresses | Select this check box to allow duplicate addresses in the build results. |
Random Sample Percentage | Enter a number 1 to 100 to specify the percentage of all addresses found to keep in the list. The Minimum and Maximum are then applied to this computed count. If the number of addresses found after applying all the filters exceed the computed count, the extras are chosen randomly in a uniform distribution and removed from the list, before saving the results. If the value is left blank, <1, or >100 the feature uses 100 as the percentage. A percentage of 100 means that they system returns all records up to the Maximum to Sample. This option only applies during the list creation. Later operations still work against the saved list of addresses. Example: |
Minimum To Sample | Enter the minimum number of addresses to keep in the list. After applying the Percentage, if the count falls below this minimum, the system keeps the minimum instead of the percentage. If this field is left blank or is <1, the minimum feature is ignored. If the minimum is greater than the maximum value, the minimum is used as the maximum. |
Maximum To Sample | Enter the maximum number of addresses to keep in the list. After applying the Percentage, if the count exceeds this maximum, the system keeps the maximum instead of the percentage. If this field is left blank or is <1, the maximum feature is ignored. |
Processing Options
The following fields affect mass mailing types.
Field | Description |

Mass Mailing Type | Select the type of mass mailing being performed. The available options are: Export Addresses, Defined Letter, or Standard Letter. Defined Letters can be emailed and attached to cases but cannot be printed or appended to cases. Standard Letters can be attached to emails as a file or emailed as body text, as well as printed. |
Fulfillment Type | If the Mass Mailing Type is Standard Letter, select the type of fulfillment that is performed. The available options are: Send Email or Ready to Batch Letter. This field is only used if you are using a Defined Letter or a Standard Letter Mass Mailing. For a Defined Letter, this field defaults to Send Email and cannot be changed. |
Email Subject | For Defined and Standard letters with a Fulfillment Type of Send Email, type the subject to use on each of the mass mailing emails. If left blank the system allows you to skip using a subject or to use the default Email subject in the Email Configuration Settings. For more information about email configuration, see Configuration: Email. |
Email Sender | For Defined and Standard letters with a Fulfillment Type of Send Email, type the email address to use as the from address on the mass mailing emails. If left blank the system uses the default Email sender as defined in the Email Configuration Settings. For more information about email configuration, see Configuration: Email. If no default Email sender is available, you must enter an Email sender in this field. |
The following fields affect only a standard letter and are only available if Mass Mailing Type is set to Standard Letter.

Standard Letter ID | Select the Emplifi Agent standard letter ID to use with the mass mailing. This field is only used if you are using a Standard Letter Mass Mailing. |
Send Standard Letter As Email Attachment | If Fulfillment Type is set to Send Email, select this check box if the letter is to be sent as an attachment. Clear the check box to send the letter as the body of the email. If checked, it sends the HTML letter as an attachment and leaves the email body blank. |
Enclosure Code | Enter the Emplifi Agent enclosure code to include with the mass mailing. Enclosures are used when printing standard letters. This field is only available if Fulfillment Type is set to "Ready to Batch." |
The following field only affects the defined letter and is only available if the if Mass Mailing Type is set to Defined Letter.
Field | Description |

Letter File Name | Click the arrow and select the file name of the letter to use with the mass mailing. Or, click the Upload button and the Select File to Upload window will display. The file selected should contain text only. The system will open the file as a text file and copy the contents into the body of the email. It will not handle special formatting within the file correctly (such as found in HTML documents). No substitutions within the text will occur; the email will contain the text as it is in the file. This field is only used if you are using a Defined Letter Mass Mailing. |
The following fields only affect export addresses and is only available if the Mass Mailing Type is set to Export Addresses.

Export To File | Click the arrow and a window will display for you to choose the folder and to enter a new file name. The file is created during the export of the mass mailing addresses. This field is only used if you are using an Export Address Mass Mailing. |
Export Type | Select the file type to be exported. Valid values are Tab delimited text, Comma separated text, Excel, and XML. This field is only used if you are using an Export Address Mass Mailing. |
Include Headers | Select this check box to include headers in the exported file. This check box is only used if you are using an Export Address Mass Mailing. |
Phone Export | Select this check box to include phone numbers in the export. If phone numbers are to be exported, then only the types specified in the Phones (1, 2, 3...) are included. This check box is only used if you are using an Export Address Mass Mailing. |
Phones | Select the Emplifi Agent phone type code to export for this column. Only one phone entry will be exported for each of the columns. These fields are only used if you are using an Export Address Mass Mailing. |
Order By | Select the order of the mass mailing addresses in the export file. The addresses can be sorted ascending or descending by Case, Address ID, or Postal Code. This field is only used if you are using an Export Address Mass Mailing. |
Case Update Options
The Case Update Options specify if and how cases related to the mass mailing are handled. These options are optional and can be left blank if no case processing is desired. The option to update cases is available for any mass mailing type.
The available options vary based on the Mass Mailing Type. Options that do not relate to a selected Mass Mailing Type and Case Usage Type are disabled and grayed-out.

Case Usage Type | Select the type of case usage desired. The options are: Ignore (the default), Update, and Create. When Update is selected, and an issue category is entered in the Category field, a new issue is created on the case. |
Set Last Survey | Select this check box to specify that the last survey date should be set on the address record being processed. |
Append Standard Letter | Select this check box to append the standard letter to the case. This option is only available if the Mass Mailing Type is set to Standard Letter. |
Attach Defined Letter | Select this check box to append the defined letter to the case. The Defined Letter will be uploaded to the attachment folder and added to each case as an attachment. The file is only uploaded one time and each case will point to the same attachment. This option is only available if the Mass Mailing Type is set to Defined Letter. |
Append Enclosure | Select this check box to append the enclosure to the case. This option is only available if the Mass Mailing Type is set to Standard Letter. |
Action Type Code | Select the action to perform on the case that added this address record to the mass mailing address list. |
Refer To Rep | Select the user code to use with the action specified in the Action Type Code. This field is only available when you enter an Action Type Code. |
Set Issue Address ID | When the system is set up to create a new issue for the Mass Mailing, selecting this check box will tie the address being sent to the new issue. |
Category | Select the category name for the case value that the mass mailing will update. To add categories to the mass mailing, click the New Code button. If you want to include multiple case enclosures, add an enclosure category ID and enclosure code for each enclosure. If you add an Issue Category, the Mass Mailing Utility creates a new issue regardless of whether you selected "Update "or "Create" in the Case Usage Type field. |
CID | Displays the category ID associated with the category specified. |
Code | Select the value, Yes or No, to set in the category specified. |
Filter Lists
Unlike standard report filters, more than one filter can be added to the utility. The filters are grouped into sets, and they run linearly. These will be displayed similar to how issues are displayed on a case. For information, see Filters in Emplifi Agent.
Viewing Build Results
The build results are displayed across multiple screens (100 per page), and you can click the Previous Page button and Next Page button to view all results of the build.
You can view the details of an address by clicking the Open Address button on the row you want to view. The Address record will open on a new screen.
Sorting Build Results
The build results are paged and sorted by Address ID, then in the order in which they were found. When you click on a column, this sorts the current page, but does not affect what displays on the previous or subsequent pages.
Editing Build Results
The Mass Mailing Utility provides an option on the results page which allows you to remove addresses from the list for processing. Allowing you to edit and save the results without having to change filters and reprocess the results. Select the Disable check box in the column of the results for each address you do not want to include in the list. If you change your mind, clear the check box to include the address in the list.
Example Mass Mailing
This example explains how to create a list of addresses that have a new case created within the last 180 days, that have not been included in a Mass Mailing in the last 90 days or have never been included in a Mass Mailing, and that have agreed to be included in Mass Mailing correspondence.
From the Processing Options view under the Affects Only Build Address List section, select the Only Allow Survey Address check box. This includes only Addresses that have agreed to be included in a Mass Mailing correspondence. If you use a different method of determining correspondence, you will need to include that method in the filter section.
Enter the following filters:

In addition, to update the Last Survey Date to the current date, select the Set Last Survey check box on the Case Update Options. This setting prevents the address from being included for at least 90 days once the Mass Mailing has been processed.
If there are more criteria that you want to include (e.g., specific product, brand, reason) then you will need to add those filters to both sets of filters.
