Letter Type Codes are typically used to differentiate between types of media, such as different letterheads or paper stock, labels, envelopes, or emails. It is recommended that every Standard Letter you define be assigned a specific letter type code. This will assist agents in letter creation. Without defining a letter type on the standard letter, the agents (or another rule) will need to ensure proper letter handling by fulfillment. During batch fulfillment processing, each letter type can be created as a separate print document so that it can be sent to the appropriate printer, or so that other special handling can be applied. For details, see Configuration: Fulfillment.
It is also possible to specify different default senders for emails that are defined using specific letter type codes. For details, see Configuration: Email.

Letter Type Codes are defined as standard categories and codes (For more information, see Category Definition, Code Definition), with the following exception:
If you are using Emplifi Agent's batch fulfillment process, and you want to sort your print documents based on the Letter Type Code, you can enter a value in the Standard Letter Type field on each code. You will need to update the standard letter type definition with the appropriate Fulfillment Type. Emplifi recommends that you process all batches prior to upgrading.

Letter Type Code definitions provide a Letter Type tab with the following fields:

Letter Type | Displays the letter type code. |
Fulfillment Type | Select the type of fulfillment that is performed. Choose from the following: Exclude - excludes all letters on cases that use this letter type. Used for letters that will be manually sent from the case or need special handling. If these letters are to be sent to customers, create a report to monitor these types of letters to ensure that they are being handled, otherwise they may never be sent. Email Letter - These types of letters are meant to be emailed. If the Fulfillment Configuration option is set to not send emails, those with this letter type will not be sent during fulfillment (they will need to be manually sent from the case). If the configuration option is set to send, then the letters need to have an email recipient specified. This setting will not prevent a letter from being printed from the case. Printed Letter - These types of letters are meant to be printed. If you are using Server-Side printing, these letter types will need to be defined in the Fulfillment configurations. This setting will not prevent a letter from being emailed manually from a case. Printed Letter and Check - supports the printing of a single check enclosure on a letter. For more information, see Printing a Single Check/Coupon Enclosure on a Printed Letter. Printed Letter and Coupon - supports the printing of a single coupon enclosure on a letter. For more information, see Printing a Single Check/Coupon Enclosure on a Printed Letter. Related Letter - represents letters that will be printed in addition to the primary letter (Printed Letter type). This letter type allows for the primary letter to indicate that a label needs printed but a Related Letter will not create a label (even if defined). Use this option to create a letter specifying product instructions or specific company policy. This would allow a customer-targeted letter to be created as the primary letter, and a more generic letter created for static type information. A Printed Letter must exist on the case, otherwise fulfillment will treat it as an exception.

Manual Handling | Allows control over whether the letter is emailed or printed from a case. Choose from the following: None / Batch Only - only allows the letter to be processed through the Fulfillment process. Email Allowed - only allows the letter to be emailed from a case. The letter cannot be printed from a case. Print Allowed - only allows the letter to be printed from a case. The letter cannot be emailed from a case. Both Allowed - allows the letter to be emailed or printed from a case.

Print Doc Order | An optional numeric value that controls the sort order of letter types within fulfillment. If used, all letter types should have a value defined. |
Label Std Letter | If this letter type needs to have a label printed for the address, specify the standard letter ID for the label. |
Address Rule | Choose from the following: Address Optional - Fulfillment will process this letter even if there is no address linked to the address or if the address is not complete. Full Address Required - Fulfillment will require that an address be linked to the letter. If the Fulfillment Type is Printed Letter then the Last Name, Address1, City, State (if country is USA or CAN), and Postal Code must be filled in for the address. An exception will be generated for those letters not meeting these requirements.

Disable default email address | Select this check box if you want to leave the To Email address blank when sending Emails of this Letter Type. If the check box is cleared, when email letters are sent in Emplifi Agent, the email recipient address defaults to the caller email address. |
