Defining Address Search Rules

The Address Search Rules screen contains information about all the rules that have been defined for the current company.

To access the Address Search Rules screen:

  • In Administration, select Company Setup > Workflow/Process Automation > Address Search Rules.

The table on this screen contains one row for each address search rule. The following information is contained in the table:

Field

Description

Priority

This number represents the order in which the address search rules are executed. This value should be unique for all rules. Emplifi Agent allows you to enter duplicates for backwards compatibility. If duplicate priorities exist and one of them finds a matching address, the Next button allows you to skip subsequent rules of the same priority.

The execution sequence of search rules allows you to have the rules return fewer and more accurate results first. This speeds up search time, as well as the time required for agents to review the results.

Also, if you are using the Unique setting (below) on any of your rules, these rules should always be executed before any non-unique rules.

You can easily change the order of execution by renumbering the desired rows. The rows are reordered in the table after you save.

Req.

If selected, this rule is included when an agent requested search is executed.

Mand.

If selected, this rule is included when a mandatory search is executed.

If you have at least one search rule marked as mandatory, agents are not allowed to close a Case window containing a new address record unless they have performed an address search. They receive a message indicating that a search must be performed before closing.

They are not required to select an existing address. The purpose is simply to ensure that they are not duplicating an address.

Auto

If selected, this rule is included in automatic address searches. An automatic search is one that is performed by an automated process, such as the email service.

When selecting this check box, you also need to select the Unique Check box.

Unique

Select this check box if you believe that this rule guarantees an accurate match. If a match is found, the associated address is automatically entered on the case without prompting the agent.

You should always set up the order of execution so that unique rules are executed before any non-unique rules. Otherwise, the automatic selection may have no effect if an earlier search rule returns results that prompt the agent to make a selection.

Take caution when using this setting to be sure you are using criteria that yields the exact address. For example, it may seem reasonable to use phone number, but this prevents the addition of multiple people in the same household, because they would all have the same phone number. An address rule that includes the phone number as well as the first and last name would be a better idea.

Active

Indicates whether the search rule is active. Inactive search rules are skipped.

Two reasons you may want to make search rules inactive:

  • You can temporarily inactivate search rules that you are having problems with, or that are taking too long to execute.

  • You can test a specific search rule by deactivating all the other rules.

(warning) Do not try this on a production system.

Address Search Criteria

Enter the search criteria for this rule. For more information, see Address Search Criteria.

Description

This field allows you to enter a text description of the search rule. It is generally used as a comment describing the search criteria. The value is not used for any processing.

For external address search rules, enter the name of the form (the form id) of the external address form.
